No matter how you engage with Minted, safeguarding your privacy and confidentiality are central to our mission. This policy describes how we handle personal information (“PI”) that you share with us about yourself, as a candidate.
This policy also describes your choices over how we handle your PI, and how to contact us. This policy also applies to anyone who visits our site at www.mintedsearchgroup.com.
This policy may be updated from time to time, and those changes will be reflected here.

1. What PI do we collect?
We source potential candidates via professional networking sites such as LinkedIn and Indeed, as well as directly from you, and we collect information about the device you use to access our site.
A. Your PI
We may access the following information from professional networking sites to assess your candidacy for available roles, and then use it to contact you with employment opportunities.
- Name
- Photograph
- Employment history
- Education
- Skills and endorsements
- Professional affiliations
- Contact information
- Profile data. Your profile may include your tenure, interests, skills, your photo, gender, race or ethnicity, and biographical information.
B. Browser or Device PI
Minted may collect technical information when you use our site, including:
- Device data such as manufacturer, model, operating system and version, IP address, unique identifiers and device settings. Your device and software settings affect what information is available to us.
- Online activity such as the date, time and duration of your visit, the browser or app version you use (and its settings), the URLs you came from and went to, and how you navigated our site – for example, which links or features you viewed or accessed.
- Some of the data collection described above is facilitated by cookies and similar technologies. Cookies are small pieces of text stored on your device that help us authenticate you and remember information about your visit. We also may use cookies and other technologies such as pixel tags and Google Analytics to track activities on the app, which helps us understand how people navigate our site (these do not personally identify anyone).
2. How do we use your PI?
We use your PI to match skills, experiences and career goals to opportunities we have received from employers with whom we work. We do this using automated tools, including third party AI services, as well as manual review to assess the appropriateness of the match. We do not use AI to make automated decisions; all shortlists are determined by our recruitment consultants. We then use your PI to make you aware of opportunities that may be a good match for you.
We also use your PI to contact you to discuss opportunities and make you aware of Minted Search Group developments, updates and news. From time to time we may also contact you through surveys, questionnaires or requests for a testimonial.
We may also use your PI to share topics and resources that may be of interest to you, such as professional coaching or educational programs. You can unsubscribe from these communications at any time. We may also measure the effectiveness of advertising and invite you to events or other relevant activities.
We may use your PI to:
- Detect, prevent and investigate fraud, spam, abuse, security incidents;
- Conduct security investigations, audits, and risk assessments;
- Comply with our legal obligations; and
- Confirm or authenticate information or identification.
We create aggregated, de-identified and anonymous data from PI, by removing identifying data elements to remove the link to any individual. We may use this data to analyze our functionality and improve our operations, and we may share it with third parties for lawful business purposes.
3. With whom do we share PI?
With your consent, we share PI with employers who are looking for qualified candidates.
If we display offers or promotions and you view, click on, or reply to one, we may share your reply and limited information about you with the advertiser. Additionally, we may log and share your interaction with online advertisements, for example to measure their effectiveness.
We may share your PI with law enforcement, government authorities, and others if we believe it is reasonably necessary to: (i) respond to a valid legal request; (ii) detect, investigate, prevent, and address fraud and other unauthorized, illegal activity, security, or technical issues; (iii) protect our or others’ rights, property, or safety; (iv) enforce our Terms of Use or any other agreements we have with you; (v) prevent physical injury or other harm to any person or entity, including you and members of the general public.
We may also share PI with our service providers and/or data processors that support our operations, all of whom are contractually bound to use personal information only to provide their services to us, to protect it as we would, and to delete it once no longer required.
4. How do we protect your PI?
We use technical and organizational measures intended to keep your data secure, however, the internet is not a fully secure environment, and we cannot guarantee that personal information won’t be intercepted or improperly accessed.
We employe appropriate security safeguards including an isolated production environment, least-privilege access, encryption, multi-factor authentication, and restricted and monitored database access.
We store and process PI using servers in Canada and the United States.
5. How long do we keep your PI?
We retain PI for as long as necessary to provide our services and in accordance with our retention and deletion policy. We retain your PI after you are no longer actively participating in recruitment to comply with our legal or regulatory obligations, to resolve disputes or defend against legal claims, and to enforce our Terms of Use.
6. What Are My Choices?
Working with us is voluntary and you can discontinue at any time. You have the right to access and correct your PI and may do so by contacting us at jack@mintedsearchgroup.com. You may also request deletion of your PI.
